This Privacy Policy explains how AHEA, PBLLC, an Oklahoma public benefit limited liability company that operates the American Health Equity Association and People’s Health Project (“AHEA,” “we,” “us,” or “our”), collects, uses, discloses, and protects personal information.

Register for a Member Strategy Forum or another program
Complete the Health Equity Pulse or another survey
Apply for a leadership, editorial, reviewer, campaign, training, or contributor opportunity
Submit a Profile in Health Equity Practice, Case in Health Equity Practice, campaign proposal, report contribution, biography, photograph, manuscript, or other material
Support or participate in a People’s Health Project campaign or action
Use an AHEA digital tool
Purchase another AHEA service
The information collected may include:

Telephone number and mailing address
Organization, professional role, title, school, or community affiliation
General geographic location
Résumé, biography, qualifications, work history, and areas of experience
Application, registration, survey, and submission responses
Photographs, documents, and uploaded materials
Communications with AHEA
Membership, purchase, activation, renewal, cancellation, referral, and transaction information
Information about community experiences, health concerns, projects, programs, or campaigns
Communication, participation, consent, and publication preferences
Please do not submit Social Security numbers, complete financial-account information, medical records, individually identifiable clinical records, confidential employer information, trade secrets, or information about another person that you are not authorized to provide.
Membership and payment information
Membership and other payments may be processed through Squarespace Payments, an invoice, or another payment method identified by AHEA.
AHEA receives transaction information needed to administer purchases, memberships, activations, renewals, cancellations, credits, refunds, and customer support.
AHEA does not intentionally collect or store complete payment-card numbers through its own systems. Payment information is processed by the applicable payment provider.
Membership fees, training fees, publication charges, and other payments are purchases of access or services.
AHEA and People’s Health Project do not accept charitable donations. Payments made to AHEA are not tax-deductible as charitable contributions, and AHEA does not issue charitable-contribution receipts.
A person or organization may purchase a membership for another adult. That payment purchases membership services for the recipient and is not a charitable donation.
Sponsored and group membership information
When a person or organization purchases a membership for another adult, AHEA may collect information about:
The purchaser or sponsoring organization
The intended recipient
Invoice and payment status
Invitation and activation status
Membership assignment
Membership start and end dates
The recipient must create and control their own account and personally accept AHEA’s Privacy Policy, Terms of Use, and Membership Terms before receiving access.
AHEA may provide the purchaser or sponsoring organization with limited administrative information, including:
Whether an invitation was sent
Whether the membership was activated
The membership start and end dates
Whether the membership remains assigned
AHEA does not provide the purchaser or sponsoring organization with the recipient’s:
Tool prompts or generated results
Detailed tool activity
Health Equity Pulse responses
Applications or submissions
Forum participation
Campaign activity
Private communications with AHEA
Other personal member activity
Referral information
When you participate in AHEA’s referral program, we may collect and process:
The referring member’s account information
Referral links or codes
Referral attribution
Referred-member activation and payment status
Credits earned, applied, reversed, expired, or forfeited
AHEA does not provide the referring member with the referred person’s private membership activity.
Forms and correspondence
Information submitted through Squarespace forms may be:
Stored within Squarespace
Delivered to AHEA by email
Stored in Google Drive or other Google services used by AHEA
Messages sent directly to AHEA may be retained in AHEA’s email accounts and organizational records.
3. Health-related and potentially sensitive information
Some surveys, submissions, campaign materials, or communications may describe:
Community health concerns
Barriers to care or services
Community conditions
Professional experiences
Lived experiences
Access to health-related resources
AHEA does not ask people to provide medical records, patient records, protected health information, detailed clinical histories, or individually identifiable information about another person’s diagnosis or treatment.
Please provide only the information reasonably necessary for the applicable survey, submission, campaign, or program. Do not identify another person or provide their personal health information unless you have authorization to do so.
AHEA may apply additional access restrictions, de-identification measures, review procedures, or publication safeguards when information is sensitive.
4. Information collected automatically
When you visit or use an AHEA or People’s Health Project website, AHEA and its service providers may automatically collect information such as:
IP address
Browser, network, operating-system, and device information
Approximate geographic location
Referring website or page
Pages visited
Links and buttons selected
Searches, scrolling, and other site interactions
Dates and times of visits
Customer-account, login, and session activity
Cookie identifiers and consent preferences
Technical, diagnostic, fraud-prevention, and security information
AHEA currently uses Squarespace Analytics to understand general website traffic and performance.
5. How we use information
AHEA may use personal information to:
Operate, maintain, and secure our websites, tools, and services
Create and manage accounts and memberships
Administer individual, sponsored, and group memberships
Process payments, activations, renewals, cancellations, credits, and refunds
Administer the AHEA referral program
Confirm eligibility for benefits, tools, and opportunities
Administer free and member tool-generation allowances
Provide requested tool results
Respond to inquiries and provide support
Send newsletters and updates a person has requested
Send administrative communications about accounts, payments, applications, submissions, or participation
Register people for forums, programs, training, and other activities
Review applications, submissions, proposals, and contributions
Select and administer leadership, editorial, reviewer, campaign, training, and contributor roles
Communicate decisions, revisions, deadlines, and next steps
Publish selected work and recognize contributors as authorized under the Terms of Use
Conduct surveys, research, program evaluation, and organizational planning
Prepare aggregated or de-identified findings, reports, and public summaries
Maintain membership, publication, appointment, campaign, contributor, and institutional records
Identify duplicate, fraudulent, abusive, or bad-faith activity
Apply rate limits and usage controls
Enforce AHEA’s terms, policies, and program requirements
Meet legal, accounting, tax, security, and contractual obligations
Improve AHEA’s programs, tools, publications, and member services
We do not use an email address collected for one purpose to send promotional communications unless the person has subscribed or otherwise agreed to receive them.
6. Health Equity Pulse and other surveys
The Health Equity Pulse collects an email address in the same record as the participant’s responses.
The email address helps AHEA:
Identify duplicate or bad-faith submissions
Protect the integrity of the initiative
Administer and evaluate the survey
Contact the participant when the participant has given applicable permission
Pulse responses are treated as confidential.
AHEA may analyze responses and report findings in aggregated or de-identified form. AHEA may use de-identified quotations or excerpts when the participant has given the applicable permission and AHEA has reasonably removed details likely to identify the person.
The Health Equity Pulse asks participants to indicate whether AHEA may:
Contact them to clarify a response
Use de-identified quotations or excerpts
Invite them to participate further
Send AHEA news or updates
AHEA will follow the selections made by the participant.
Providing an email address for the Health Equity Pulse does not, by itself, subscribe the participant to marketing or newsletter communications.
Identifiable responses may be accessed by AHEA and authorized reviewers, researchers, advisers, contractors, or members of relevant AHEA bodies when reasonably necessary to administer, validate, evaluate, or analyze the initiative.
Unless a survey expressly states otherwise, survey responses are not Public Submissions under the Terms of Use and will not be published in identifiable form merely because they were submitted.
7. AHEA digital tools and artificial intelligence
AHEA provides digital tools that may use artificial intelligence, research databases, and related technology services.
Users must provide an email address and complete any required verification before using the tools.
Verified nonmember users may receive up to two free generations during the lifetime of the email address across the complete AHEA tool suite.
Active paid and complimentary members may receive up to 100 generations per calendar month across the complete tool suite, subject to the Membership Terms.
When you use an AHEA tool:
The information you enter passes through AHEA’s backend infrastructure hosted through Vercel.
Information needed to produce a result is transmitted to OpenAI.
Supabase processes account, authentication, access-status, membership, and usage information.
Upstash processes limited technical identifiers used for rate limiting and misuse prevention.
For the Evidence in Practice Tool, search terms or queries derived from a request may be transmitted to PubMed services operated by the National Library of Medicine.
AHEA does not provide or intentionally maintain a user-accessible history of tool prompts or generated responses.
AHEA’s application database is not designed to retain complete prompts and generated responses as member records. Submitted content may nevertheless be processed or temporarily retained by technology providers under their applicable configurations, terms, security practices, and retention policies.
AHEA may process or retain limited usage and diagnostic information, including:
The account or email associated with a request
The tool used
Date and time
Access, verification, trial, or membership status
Number of generations used or remaining
Whether a request was allowed, blocked, reserved, completed, released, or unsuccessful
Input and output length
Error, rate-limiting, security, and diagnostic information
AHEA may use this information to:
Confirm access
Administer free and member allowances
Apply rate limits
Investigate errors
Maintain security
Prevent misuse
Improve tool reliability
Tool prompts and generated responses are not Public Submissions and will not be published merely because a tool was used.
Do not enter medical records, individually identifiable health information, confidential organizational materials, trade secrets, or personal information about another person unless you are authorized to provide it.
8. Applications and internal review
Applications and submissions may be made available to people who need access to evaluate or administer the relevant opportunity.
Depending on the program, these people may include:
AHEA leadership
Council or committee members
Editorial-board members
Editors and peer reviewers
Application or submission reviewers
Program facilitators
Contractors, consultants, or professional advisers
Other authorized contributors supporting the relevant process
AHEA seeks to limit access to information reasonably appropriate for each person’s role.
Submitting material for consideration does not automatically make it public.
Applications for leadership, committee, council, editorial, reviewer, and similar roles are reviewed privately and are not themselves Public Submissions.
9. Public submissions, appointments, and publication
Certain AHEA programs invite material intended for possible publication, professional recognition, credited contribution, campaign use, or another public-facing purpose.
These materials are defined as “Public Submissions” in the Terms of Use and may include:

Cases in Health Equity Practice
People’s Health Project campaign materials
Community Health Impact Reports
State of Health Equity in America contributions
Contributor biographies and photographs
Other material submitted through a process identified as public-facing
Information published in connection with selected work may include:

Biography
Photograph
Professional, academic, organizational, or community affiliation
Submitted writing or other work
Campaign information
Authorship or contributor credit
When a person is selected for a role that AHEA publicly announces or credits, AHEA may publish approved information reasonably connected with the service, including:

Assigned title
Term of service
Contribution
Private application responses will not be published merely because the person applied.
Peer-review or reviewer service will be publicized only when the applicable program provides for reviewer recognition or the reviewer agrees.
AHEA may retain published work, credits, appointments, reports, campaign records, and related materials as part of its public and institutional record.
AHEA will consider reasonable correction, revision, or removal requests. Complete removal may not be possible after publication, distribution, indexing, archiving, or use by third parties.
Accepted journal manuscripts may be subject to a separate author publishing agreement.
10. People’s Health Project and New/Mode
People’s Health Project may use New/Mode to host campaign-action forms and transmit supporter communications to designated decision-makers or other campaign targets.
Depending on the campaign and action, New/Mode and AHEA may collect information such as:
Name
Email address
Telephone number
City, state, ZIP code, or other location information
Organization or affiliation
Message, comment, story, or statement
Signature or indication of support
Information about the action a participant wishes to take
Other information identified on the form
Depending on the campaign, certain information may:
Appear publicly
Be included in a public count or list of supporters
Be sent to a decision-maker, institution, public official, organization, or other campaign target
Be used to administer the campaign action
The applicable campaign form should identify what information may be published or transmitted.
New/Mode’s own terms and privacy policy also apply when its platform is used.
Participation in a campaign does not automatically subscribe a person to AHEA or People’s Health Project promotional communications unless the person separately chooses to subscribe.
11. Newsletters and communications
AHEA uses Squarespace Email Campaigns to send requested newsletters and updates.
You may unsubscribe from promotional communications using the unsubscribe link included in the email. AHEA may retain limited suppression information necessary to honor the unsubscribe request.
Even after unsubscribing from promotional communications, you may continue receiving administrative messages concerning:
Membership or payment activity
Account access or security
Applications or submissions
Program or forum registration
Leadership, editorial, reviewer, campaign, or contributor responsibilities
Material policy or service changes
Transactions or activities you initiated
Resend may be used through Supabase to deliver authentication-related communications, including email-verification messages.
12. Cookies and similar technologies
Our websites use cookies and similar technologies.
Cookies are small files or pieces of information placed on a browser or device. Some are necessary for the websites to function. Others support analytics and performance measurement.

AHEA does not currently use Google Analytics.
AHEA may add or change analytics providers in the future. AHEA will update this Privacy Policy and applicable cookie controls as appropriate before making a material change to its analytics practices.

Visitors may use the website’s cookie banner and Manage Cookies control to accept, decline, or change available preferences.
Visitors may also block or remove cookies through browser settings. Blocking necessary cookies may prevent account, checkout, login, embedded content, or other functions from operating correctly.
Some third-party content or integrations may use their own cookie or consent processes.

14. No sale of personal information or targeted advertising
AHEA does not and will not sell personal information.
AHEA does not share personal information for cross-context behavioral advertising and does not use personal information to provide targeted advertising based on activity across unrelated websites or services.
Disclosure to providers processing information on AHEA’s behalf, or transmission of campaign-action information to the recipient identified on a campaign form, is not treated by AHEA as a sale of personal information.
15. Data retention
AHEA uses purpose-based retention criteria rather than one fixed deletion schedule for every category of information.
AHEA may retain information for as long as reasonably necessary to:
Provide memberships, programs, publications, tools, and requested services
Maintain account, application, submission, and participation records
Preserve authorship, appointment, editorial, reviewer, campaign, and contributor histories
Preserve AHEA’s institutional and publication record
Conduct research, longitudinal analysis, or program evaluation
Maintain the integrity of surveys and research initiatives
Maintain payment, accounting, tax, referral, and transaction records
Resolve disputes and respond to inquiries
Protect security and prevent fraud or abuse
Enforce agreements and policies
Comply with legal and contractual obligations
Published materials, contributor credits, appointment histories, campaign records, reports, journal content, and related public records may be retained indefinitely.
AHEA may retain Health Equity Pulse responses and associated email addresses when reasonably necessary to preserve the integrity, analysis, longitudinal value, and institutional record of the initiative.
Newsletter information may be retained until a person unsubscribes. Limited suppression information may then be retained to prevent future promotional messages.
AHEA may delete, anonymize, aggregate, or de-identify information when it is no longer reasonably needed.
AHEA may retain information after a request for deletion when retention is permitted or required for legal, accounting, security, fraud-prevention, contractual, research-integrity, publication, authorship, campaign-record, or institutional-record purposes.

Depending on where you live, applicable law may provide rights concerning your personal information.

No internet transmission, website, platform, or storage system can be guaranteed to be completely secure. Please use care when deciding what information to submit.
18. Services for adults
AHEA’s memberships, accounts, digital tools, surveys, applications, submission forms, newsletter subscriptions, training programs, and formal campaign or leadership opportunities are intended for people who are at least 18 years old.
Public website content may be viewed by general audiences, but AHEA does not knowingly permit anyone under 18 to:
Create an account
Purchase or activate a membership
Submit personal information
Use an AHEA tool
Complete an AHEA survey
Formally participate in an AHEA or People’s Health Project program
If AHEA learns that personal information was submitted by someone under 18, AHEA may delete the information and terminate the associated account or participation.
A parent or guardian who believes a minor submitted personal information may contact info@americanhealthequity.org.
19. International visitors
AHEA is based in the United States but does not limit participation solely to U.S. residents.
Personal information may be transferred to, processed in, and stored in the United States or other countries where AHEA’s providers operate. Privacy laws in those countries may differ from the laws where you live.
Where required by applicable law, AHEA may process personal information based on:
Performance of a contract or requested service
Consent
AHEA’s legitimate interests in operating, securing, and improving its services
Compliance with legal obligations
International participation does not mean that AHEA is a charitable organization or that payments made to AHEA qualify as charitable contributions.

Our websites may link to or embed websites, forms, media, databases, or services operated by third parties.
Those third parties have their own terms, privacy practices, and accessibility practices. AHEA is not responsible for the practices of services it does not control.
21. Changes to this policy
AHEA may update this Privacy Policy as its programs, technology, providers, or legal obligations change.
The current version will be posted with a revised effective date.
